When do we collect personal data and how do we use it?

When artists and suppliers work with us
When you deliver products or services to MAF, or sell works through us, we collect the data needed to stay in contact with you and to handle the transaction efficiently (for example, in connection with invoices). We also process your personal information where required by law (for example, for tax purposes). We collect the minimum data needed, such as your name, address, phone number, email address, and, solely in connection with a transaction, your bank account information. We use trusted third-party systems to store this data and to process invoices; these parties alone receive your data and store it on our behalf.When donors, members, and program participants engage with us
When you make a donation, become a member or patron, express interest in an artist, participate in an event, or use any other services we provide, we collect a range of data in order to manage your relationship with MAF and maintain accurate records of your giving and participation. We collect only essential data, such as your name, address, phone number, email address, art-related interests, and a history of your previous donations, purchases, and event participation. This data is stored within a trusted third-party donor management system. Donations may also be processed by third-party payment providers, who receive only the information necessary to process your gift.When you subscribe to our newsletter
If you wish to subscribe to the newsletter from MAF, we ask for your consent to process your name and email address. This information is not used for any other purpose. We use a broadcast system to send our newsletter, and that third party alone receives your personal information as a data processor for MAF. This provider offers tracking and analysis of certain features to help us improve our communications; this additional data is used solely for that purpose and is not shared with any other third parties.When you send a job or residency application
If you apply for a position or residency at MAF and submit your application, CV, portfolio, or similar materials, we process this information, including your personal data, in order to evaluate your application. If the application was submitted in connection with an announced opening, we keep the data until the application and selection process has been completed. Applications are not saved for future openings, and we therefore invite you to apply to each opportunity as it is announced.Camera surveillance
If you visit MAF's premises, we may collect information about you through security camera surveillance. Monitoring is carried out in accordance with applicable law. Where a third party hosts this footage, that party alone receives your personal data and processes it on behalf of MAF.Invitations to events
We invite you as a guest to exhibition openings, open studios, and other events if you have signed up to receive invitations, and in some cases because you have previously collaborated with MAF. For this purpose, we have registered your name, title, email address, telephone number, and address. Your personal data is stored on a third-party server, and this party alone saves your data on our behalf. We use a broadcast system to send electronic invitations, and this third party receives your name and email address to process data on behalf of MAF.Contacting MAF
When you contact MAF, whether by email or physical letter, we archive your inquiry and the response you receive. This is to document that we have addressed your inquiry.Photography and recordings
We sometimes photograph and film in our spaces in connection with public events, such as opening receptions and open studios. You may be filmed or photographed at these events, but we strive to do so at an appropriate distance so that individuals are difficult to recognize in the recorded materials. We may occasionally use these photos or video recordings on our website and social media channels for marketing purposes.
Personal data is only processed and stored when it has been willingly shared, such as in connection with a donation, purchase, participation in an event, subscription to our newsletter, or when you contact us by phone or email, except for the limited passive collection (cookies and security-camera footage) described in this Policy.
Please note that in some cases you are required to share personal data, such as your name, address, phone number, and email address, as this data may be necessary to process a donation or complete a transaction. Your data will only be shared to the extent, and with the parties, necessary to provide the service in question, for example in connection with the creation of a profile in our donor management system. We do not sell your personal data.How long do we store your personal data?
MAF stores your personal data for as long as necessary to provide the services requested, to serve a justified purpose (such as maintaining donor and supplier records), or to meet the requirements of applicable law, including tax regulations that require records to be retained for a number of years. We review and remove or amend personal data on an ongoing basis, deleting data that has served the purpose for which it was stored.Consent
